Who we are
This website is run by Orvel Studio Ltd, a company registered in England and Wales, with studios at Unit 4, 31 Great Sutton Street, Clerkenwell, London EC1V 0DX and Rua da Boavista 72, 3.º, 1200-066 Lisboa. In this policy, “we”, “us” and “Orvel” mean Orvel Studio Ltd.
For the personal information described here, we are the controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We are a small studio and do not have a formal data protection officer; a director is responsible for this policy and you can reach them at hello@orvel.studio.
What we collect
When you send a project brief
The brief form on our contact page asks for your name, your work email address, optionally your company name, what you need from us, optionally your company’s stage, budget range and timing, and a short message. We only receive what you choose to type or select.
When you subscribe to Notes
Our newsletter asks for your email address only. We also keep the date you subscribed and whether you opened recent issues, so we can tell if a note was useful and so we can stop sending to addresses that no longer work.
When you email or call us
If you write to us or phone the studio, we keep the correspondence and any details you share, such as your name, job title and phone number, for as long as we need them to deal with your enquiry or project.
What we do not collect
We do not run advertising or tracking cookies, we do not build profiles of visitors, and we do not buy contact lists. We never ask for special category information such as health or political opinions; please do not include it in a brief.
How we use it, and why
Data protection law requires us to have a lawful basis for each use of your information. These are ours.
| What we do | Lawful basis |
|---|---|
| Read your brief, reply to it and discuss a possible project with you | Steps taken at your request before entering into a contract, and our legitimate interest in responding to enquiries |
| Deliver a project once we are working together, and invoice for it | Performance of a contract, and our legal obligations for financial records |
| Send Notes, our newsletter, four times a year | Your consent, which you can withdraw at any time with the link in every issue |
| Keep our website and email secure and working | Our legitimate interest in running a safe service |
| Respond to legal claims or requests from regulators | Legal obligation, or our legitimate interest in defending our rights |
Where we rely on legitimate interests, we have considered your interests and expectations and believe a business enquiry reasonably expects a reply. You can object at any time; see your rights.
How long we keep it
- Briefs that do not become projects: deleted 24 months after our last contact with you.
- Client project records: kept for six years after the project ends, because contract and tax law may require it.
- Newsletter subscriptions: kept until you unsubscribe; your address is then held on a suppression list only so we never email you again.
- General correspondence: deleted 24 months after the conversation ends, unless it relates to a project.
Outside the UK
Our Lisbon studio is in the European Economic Area, which the UK recognises as providing adequate protection. Some of our service providers store data in the United States or elsewhere. Where that happens, we rely on UK adequacy regulations or on the International Data Transfer Agreement or Addendum approved by the Information Commissioner, so your information keeps an equivalent level of protection.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it, or object to our use of it;
- ask for information you gave us in a portable format;
- withdraw your consent to the newsletter at any time.
Some rights depend on the lawful basis we rely on and have exceptions. To make a request, email hello@orvel.studio. We will reply within one month and will not charge you, unless a request is clearly unfounded or excessive.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
Changes to this policy
We review this policy at least once a year and whenever we change how we handle personal information. The date at the top shows when it last changed. If a change affects you significantly, we will tell you directly where we can.
